Data controller
Zebra Bouw is the data controller for information entered in this portal. Contact the office for any privacy request.
What we store
- Account details: name, email, role, sign-in status, and securely hashed passwords.
- Customer and project records: contact details, offers, invoices, payments.
- Worker time entries: clock in/out times, breaks, photo and location proof captured by the time clock, and daily site reports.
- Documents: project plans, photographs, and financial documents you or staff upload.
Why we store it
To run the contracted work: creating offers, planning projects, recording worked hours, invoicing, and legal bookkeeping/accounting obligations.
Retention
Financial records are kept as long as legally required for accounting and tax purposes. Other records are kept only as long as needed for the project and account.
Archiving a worker disables their access without deleting recorded hours, project records, or reports. Authorised staff can export timesheets for payroll and project administration.
Your rights
You can request a copy of your data (export) or ask for it to be deleted/anonymized where legally possible. Contact the office administrator to make a request.
Security
Passwords are stored using strong one-way hashing. Access is protected by login, role permissions, and audit logging. Uploaded files are stored outside the public web folder and are only reachable through an authenticated request.
Account invitations and password resets use private, single-use email links that expire after 24 hours. Only a hash of each link token is stored. Changing an account email or archiving the account invalidates its outstanding password links.
Service providers
The portal uses hosting and email delivery providers to operate the service. Administrators should only share exported records with people who need them for the purposes described above.
